
NLSA is pleased to announce an opening for a Studio & Project Coordinator position in their award-winning studio. The new team member will replace the existing position held for seven years in this small, friendly and dynamic group of six. We are looking to fill a full or part-time (4 days office-based) role for an individual with good energy, self-motivation and organisational skills to manage and support the day-to-day running of the Studio. The successful applicant will be passionate about working in a creative and professional culture and able to assist in driving the vision of the team. You will need exceptional communication skills and be able to show relevant experience.
Key Responsibilities:
- Maintain an excellent teamwork culture through regular engagement and support.
- Assist with project administration and support of the design team, e.g. sending out samples, sourcing and scheduling products.
- Coordinate and chair weekly staff meetings, including preparing the agenda, taking minutes, and ensuring follow-ups.
- Organise and manage weekly team lunches and plan monthly and annual events such as group exercise classes, socials, etc.
- Manage the website, newsletter and social media marketing content in collaboration with our third-party partners.
- Support recruitment of new staff, conducting inductions and managing performance appraisals in collaboration with the Director.
- Coordinate weekly staff training events (CPD) with suppliers, consultants, and other partners.
- Manage filing systems and maintain the materials/product library for easy access.
- Arrange renewal of annual membership registrations and software licenses.
- Liaise directly with clients on matters including contracts, invoicing, and meeting coordination.
- Oversee project invoicing, ensuring the correct information is obtained from the Director and Project Architects and entering this into software.
- Partner with our external finance department on reconciling expenses, payroll and quarterly VAT returns.
Key skills required:
- Minimum two years relevant work experience.
- Proficiency in Office 365 and Adobe Creative Suite.
- Good understanding of Mac operating system and day-to-day IT.
- Confident in communicating with clients and suppliers.
- Hands-on approach to all tasks.
- Excellent people skills.
- Be eligible to work in the UK and be fluent in English, both written and verbal.
